Summary: The Program Specialist will assist with client enrollment and outreach for Counseling and Psychoeducational Services. The Program Specialist will assist with determining client eligibility, program enrollment, applications, assessments, and referrals. They will work with Program Manager to document and monitor all client services in our Client Management System and to communicate outcomes with internal/external stakeholders.
Responsibilities:
- Develop and maintain knowledge of programs and services provided at the Counseling Center.
- Complete client applications for services, determine eligibility, and administer program assessments as needed.
- Assist parents/guardians in completing Victims of Crime and CALVCB applications.
- Provide outstanding customer service, greet clients, answer telephone calls, process payments, and document client activities in Client Management System.
- Manage Counseling Center daily appointment schedule and ensure healthy productivity rate by providing client appointment reminders.
- Provide Counseling Center service reports to internal/external stakeholders and assist with grant reports and/or correspondence as appropriate.
- Process incoming referrals, follow-up with clients, and provide referral update to referring entities. Provide client referrals to other services outside of Family Services as appropriate.
- Maintain client data base, adhere to policies related to HIPAA, confidentiality, information sharing and appropriate use of agency client database.
- Assess for any safety concerns or immediate crisis issues and refer for additional services provided by either FSTC or other agencies
- Attend to and communicate needs and quality improvement ideas to Supervisor regarding program operations, confidentiality, safety, productivity, or staff needs.
- Other duties as assigned.
Qualifications:
- Education: AA/BA preferred, can be substituted by experience in related fields.
- Experience: Spanish-speaking required. Must have strong typing skills and experience with Microsoft Office Suite software, have ability to read and write in English and Spanish, two years general office experience helpful.
- Transportation: Must possess valid California Driver’s License. Must have availability of automobile for business use, and at least minimal auto insurance as required by law.
- Additional Requirement: Must receive clearance from the Department of Justice Criminal Record Offender Information database.
