Summary: Family Services is interested in hiring a skillful writer and analytical thinker to be our Analyst. The Analyst coordinates with executives, managers, and other leadership team members to streamline business processes and increase the productivity of the program and agency. The Analyst may also assume a leadership role to oversee the implementation of their ideas and ensure their success.
Role Assignment: Family Services is interested in hiring a skillful writer and analytical thinker to be our Analyst. This non-exempt position works as part of the organization’s leadership and development team under the supervision of the Chief Financial Officer. The Analyst is responsible for research, writing, and submitting grant proposals, as well as ensuring integration of awards into the organization and ensuring pre- and post-award compliance requirements for grants at met for both private and public funders. The Analyst is expected to cultivate and maintain relationships with foundations and government entities; design program goals and strategies; write/submit government and foundation grants in conjunction with program needs and staff requirements, and communicate with the Division Directors and program staff teams to ensure comprehensive understanding of awards and compliance needs of funders. This position is responsible for a high volume of projects, proposals, and reports, and will have the opportunity to inform and help develop the organization’s many diverse programs. The ideal candidate for this role will: have the ability to think and write strategically about programs and services, possess excellent writing, research, and organizational skills, demonstrate an ability to work on deadline, and will maintain excellent attention to detail and systems. This position may have a hybrid schedule working from home and in the office (agency approval needed). This position may require some travel throughout Tulare County and outside Tulare County for training and as needed.
Responsibilities:
Grant/Fund Development
- Researches and assesses funding opportunities for the organization, including developing goals and identifying potential resources, timeline, and organizational needs regarding grants.
- Engages with funders to build relationships and opportunities for funding. Attend necessary bidders’ conferences and grant workshops.
- Designs, writes, and submits grant proposals for both private and government funders.
- Writes, submits, and tracks letters of intent.
- Works with the appropriate staff teams to plan, budget, write and submit proposals.
- Brainstorms and strategizes funding opportunities with program managers and staff.
- Coordinates with fiscal staff to create budgets for grant submission.
- Collaborate with division directors and program managers to design scope of work, logic models, evaluation strategy, or other supporting documents for grants and programs
- Maintains registration and current passwords for the administration of grants
Grants Compliance, Contracts, and Administration
- Maintains records and files of grant application submissions (pre-award).
- Reviews contracts, and maintains documentation for all grant awards and contract addendum.
- Maintains a system to track and notify appropriate program managers and fiscal staff of grant awards, timeframes, and contract details.
- Orients program managers and team lead post-grant awards to ensure thorough communication of objectives, activities, and deliverables of grant awards.
- Provides support to Division Directors and program managers with contract compliance to meet funder requirements, including reporting timelines, and tracking of fiscal and program report submissions.
- Assist Division Directors with government grant compliance as needed, including tracking report due dates and closing government grants. Review progress and final reports as required, including compiling necessary information from program and finance staff, editing/drafting written narratives, and submitting reports promptly.
- Coordinates site visits from funders, interacts with and responds to questions from funding agency representatives, and participates in relevant discussions and meetings.
- Supports fiscal and program teams by coordinating compliance of sub-recipient/sub-award agencies, ensuring required monitoring tasks are completed, and providing technical assistance to partner organizations on collaborative grant projects.
- Support entry and management of the foundation, corporate, and government submissions, awards, and reports in the agency database.
- Adherence to policies related to HIPAA, confidentiality, information sharing, and appropriate use of agency client database.
Qualifications:
Education: Four-year college degree or business college certification or sufficient combination of education and experience to demonstrate competency in grants management or nonprofit program management or fund development.
Experience: Two years’ experience in community engagement, grant/fund development, or experience with a non-profit agency in an administration or direct support position, preferably in social service, health, or education-related agency. Non-profit finance or reporting experience. Must be computer literate in word processing, spreadsheets, and databases. Knowledge of foundation and government funding agencies, knowledge of budgeting procedures/methodology, and a thorough understanding of the legal, administrative, and operational needs of nonprofit organizations are highly desirable.
Transportation: California Driver’s License, availability of automobile for business use, and at least minimum auto liability insurance as required by law.
Additional Requirements: Successful completion of background screening including clearance from the Department of Justice Criminal Record Offender Information database.
PHYSICAL DEMANDS & WORKING ENVIRONMENT:
- Environment: Standard office setting as well as your home office environment; occasional travel from site to site; occasional exposure to noise, dust, and fumes; stressful calls/situations.
- Physical: Primary functions require sufficient physical ability to work in an office setting and field environment including travel to various locations; sitting for prolonged periods; standing for brief periods; climbing 3-5 stairs; operating office equipment including a computer keyboard.
- Vision: See in the normal visual range with or without correction; vision sufficient to read computer screens and printed documents and to operate the equipment.
- Hearing: Hear in the normal audio range with or without correction.
- Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Must possess the ability to understand and appreciate diversity, and to be sensitive to different experiences and cultures.
