Summary: We are seeking a well-organized and motivated Coordinator to join our agency. The Coordinator will be responsible for planning, implementing, and evaluating various programs while ensuring they are completed on time and within budget. This role requires strong project management skills and the ability to effectively use resources. The Coordinator will also assist in training new staff and will ensure the smooth operation of the program. Collaboration with team members to achieve shared program goals is essential to this role.

Role Assignment: As part of the Community Engagement Team, you will help build and enrich our vibrant community of volunteers, supporters, partner organizations, and the general public. You’ll combine your love for people, leadership abilities, and passion for Family Services’ mission to coordinate outreach activities throughout Tulare County. Your responsibilities will include managing the agency’s outreach calendar, attending events to promote community engagement, and recruiting volunteers for various programs. The ideal candidate will be highly organized, friendly, a skilled communicator, and adept at building and maintaining positive relationships. Lifelong learners with strong leadership and communication skills will thrive in this role.

 

Responsibilities:

Outreach Coordination & Community Engagement

  •  Develop connections between targeted outreach populations and Family Services programs, including domestic violence, sexual assault, and family support services.
  • Oversee the agency’s outreach calendar, responding promptly to tabling and presentation requests using strong customer service skills.
  • Distribute marketing materials and deliver general presentations to key audiences, representing the agency at community events and collaborative meetings.
  • Strengthen the agency’s outreach program by increasing cohesion and public awareness of services, and encouraging community involvement.
  • Provide training and guidance on outreach activities and policies to staff and supervise outreach volunteers at community events.
     

Volunteer Recruitment & Placement

  • Collaborate with program managers and staff to promote volunteer opportunities that meet program needs while providing meaningful experiences for volunteers.
  • Serve as the primary contact for potential volunteers, managing the full process from application, screening, and placement to recognition and exit interviews.
  • Coordinate with university faculty and internship field coordinators for the placement of interns, ensuring program requirements and learning objectives are met.
  • Work with Human Resources to ensure volunteers obtain the required fingerprint clearance (DOJ and TrustLine) before beginning their roles. 
  • Collaborate with Human Resources and the executive team to ensure volunteer expectations and responsibilities align with agency policies. 
  • Respond to volunteer inquiries and applications promptly, providing excellent customer service.
     

Administrative and Other Duties                            

  • Maintain the volunteer database with accurate, up-to-date information on volunteer status, hours, placements, and communications.
  • Generate monthly outreach and volunteer reports for the Finance department using the volunteer database, outreach forms, or spreadsheets.
  • Partner with Human Resources to develop and maintain volunteer files and policies.
  • Support agency events by providing direction to event volunteers in collaboration with the Community Engagement Team.
  • Complete in-house training, including a 40-hour Rape Crisis & Domestic Violence Counselor Training, and other role-specific training as required.
  • Perform other duties as assigned by a supervisor or executive staff.
     

Qualifications:

  • Education: A.A. in Human Services or related field and/or related experience. 
  • Experience: Proficiency with Microsoft Office applications, including Outlook, word processing, databases, and spreadsheets.  Experience with a human/social services provider.  Demonstrate effective public speaking/communication skills.
  • Transportation: Valid California driver's license, availability of automobile for business use, and at least minimal auto liability insurance coverage as required by law.
  • Additional Requirement: Must receive clearance from the Department of Justice Criminal Record Offender Information database. Must be at least 21 years of age.

Physical Demands & Working Environment:

 

  • Environment: Standard office; frequent travel from site to site and throughout Tulare County; occasional exposure to the sun, moderate heat, noise, dust, and fumes; stressful calls/situations. Requires the kind of teamwork, supervision, and personal interaction, that cannot be had in a home office situation; therefore, regular and predictable on-site attendance is a job requirement.
  • Physical: Primary functions require sufficient physical ability to work in an office setting and field environment including travel to various locations; sit for prolonged periods; stand for brief periods; climb 3-5 stairs; operate modern office equipment. Work requires lifting, stooping, bending, stretching, walking, standing, pushing, pulling, reaching, and other physical exertion.  Lift to 25 lbs.
  • Vision: See in the normal visual range with or without correction; vision sufficient to read computer screens and printed documents and to operate the equipment.
  • Hearing: Hear in the normal audio range with or without correction.
  • REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Must possess the ability to understand and appreciate diversity and to be sensitive to different experiences and cultures.
